A quote is not comparable if those fields are missing.

Start with the mission

Record the preferred departure date and time, acceptable flexibility, passenger count, passenger mobility needs, baggage type, pets, and the true origin and final destination. A quote from a farther airport can be less useful even when the aircraft price is lower.

Airport choice is part of the price

Austin, Dallas–Fort Worth, Houston, San Antonio, Midland–Odessa, and smaller Texas markets can involve several commercial and general-aviation airports. Compare aircraft cost together with ground time, terminal or fixed-base-operator access, parking, handling, operating hours, and suitability for the proposed aircraft.

Ask who selected the airport and what alternative was considered. A more distant field can improve aircraft availability while weakening the traveler’s door-to-door result.

Verify the responsible operator

The FAA says paid on-demand charter generally operates under Part 135 and advises passengers to confirm that both the operator and aircraft are authorized. The FAA publishes a legal Part 135 operator and aircraft list and an operator-search resource. If the company will not identify the responsible operator or provide authorization information, pause the transaction and verify before paying.

Compare the complete quote

Ask whether the quote includes federal excise tax, segment fees, airport and handling charges, repositioning, crew overnight, catering, ground transportation, deicing exposure, international fees when applicable, and payment processing. Then compare cancellation, substitution, schedule-change, weather, and mechanical-disruption terms.

Comparison rule: A lower number with missing tax, operator, aircraft, or cancellation detail is an incomplete quote—not automatically a better quote.

Aircraft fit is more than passenger seats

Discuss cabin dimensions, baggage volume, lavatory configuration, accessibility, pets, runway requirements, and any large or unusual item. Aircraft type can be substituted under contract terms; understand what substitution is allowed and what happens if the replacement no longer fits the mission.

Plan the arrival after the flight

Confirm the fixed-base operator or terminal, vehicle pickup instructions, security or identification requirements, and the time from aircraft to final address. For a multi-city itinerary, use the same ground-handoff checklist for every stop.
